The Shibuya Higashi Archives handles with care the user information it obtains through this site and its related services. This policy sets out what information is obtained, the purposes for which it is used, and how it is managed.

This policy governs the handling of user information on the official website, the official exhibitions app, the museum shop, and all other related services (together, the “Services”) operated by the Shibuya Higashi Archives (the “Archives”). The Archives handles the information of everyone who uses the Services in compliance with applicable law — and with respect.

1. Information we obtain

To provide and operate the Services, the Archives may obtain the following information, within the scope necessary.

Information you enter when contacting us — your name, email address, the type of inquiry, the subject, and the message. Information you provide when using the museum shop, as required for orders, delivery, and payment. And technical information recorded automatically in the course of use — access times, pages viewed, device and browser type, IP address, cookies, and the like.

The Archives does not obtain unnecessary information without your consent.

2. Purposes of use

The information obtained is used for the following purposes.

To answer inquiries and to contact you. To ship goods, process payments, and provide information in connection with the museum shop. To operate, maintain, and improve the Services, and to investigate malfunctions. To send information on exhibitions, special exhibitions, and distributions. And to keep the Services safe and prevent improper use.

The Archives does not use the information beyond the scope of these purposes.

3. Provision to third parties

The Archives does not provide the information it obtains to third parties, except in the following cases.

Where you have given consent. Where disclosure is required by law. Where work is entrusted to others within the scope necessary to provide the Services — shipping, payment processing, system operation, and the like. In such cases, the Archives requires those entrusted to manage the information appropriately.

4. Use of cookies and similar technologies

The Services may use cookies and similar technologies to improve convenience and understand patterns of use. These do not directly identify individuals. You may refuse cookies in your browser settings; some features of the Services may then be unavailable.

On the official website, the Archives measures visits by its own cookieless method. This measurement uses no cookies at all, and stores no information that could identify an individual — neither IP addresses nor complete referrer URLs. The approximate number of visitors is recorded as an irreversible code that holds meaning only within the day; by the next day, the records can no longer be linked to one another. The approximate region of access (the country and, within Japan, the prefecture) is estimated by checking against a geographic database held on the Archives’ own server, and only regional totals are recorded. The IP address used for the lookup is not itself stored.

These records are neither provided nor transmitted to any third party, and are used solely for operating the Services and improving the displays. Where your browser has Do Not Track (DNT) or Global Privacy Control (GPC) enabled, the Archives respects that intention and does not measure.

5. Management of information

The Archives takes reasonable measures to protect the information it holds against leakage, loss, and damage. Information is retained only as long as necessary for the purposes of use; once the purpose has been served, it is deleted or anonymized by appropriate means.

6. Requests for disclosure, correction, and deletion

Should you request the disclosure, correction, suspension of use, or deletion of your own information, the Archives will confirm your identity and respond promptly, to the extent reasonable and in accordance with law. Please make such requests through the contact point below.

7. Changes to this policy

The Archives may revise this policy in response to changes in law or in the Services. Material changes will be posted on the Services. The revised policy takes effect when posted.
